Critical First Step: Identify Desktop vs. Cloud Version
ChiroTouch has two completely different versions with different workflows. Before doing anything else, determine which version your office uses: Desktop version — you launch ChiroTouch from a Windows desktop icon or Start menu shortcut. It opens as a thick Windows application with a gray/white interface. Cloud version — you access ChiroTouch through a web browser (Chrome, Edge) by navigating to a URL like yourpractice.chirotouch.com. Desktop users follow Steps 2–5. Cloud users skip to Step 6.
Note:
Desktop and Cloud have entirely different navigation and export workflows. Using the wrong steps will waste time. Confirm your version before proceeding.
Tip:
Cloud version exports are significantly easier and include column headers automatically. If your practice has access to both, use Cloud.
DESKTOP ONLY: Open the Reports Module
In the ChiroTouch Desktop application, look at the top menu bar. Click "Billing/Statement Reports". A submenu will appear. Click "Data Export" to open the export configuration screen, then select "Patient Data" to configure the patient fields to include.
Tip:
Cloud users: skip this step and go to Step 6.
DESKTOP ONLY: Build and Export Active Patient Report
In the Data Export screen, configure the export to include active patients. Set Patient Status = "Active". In the column selector, check all of the following fields: Last Name, First Name, Cell Phone, Home Phone, Email, Last Visit Date, Total Visits. Then click "Generate Report".
Note:
CRITICAL: The Desktop CSV export has NO COLUMN HEADERS. The first row is patient data, not a header row. Do not add headers yourself — document the column order and include it in your message to MedMasters. The column order from left to right is: Last Name, First Name, Cell Phone, Home Phone, Email, Last Visit Date, Total Visits.
DESKTOP ONLY: Run Second Export for Inactive Patients
You must run a second export for inactive patients — they are your primary reactivation targets. Go back to the Data Export screen, change Patient Status from "Active" to "Inactive", keep all other settings the same, click "Generate Report", then "Export to CSV". Save this file as "inactive_patients.csv". You will send BOTH files to MedMasters.
Note:
Both the active_patients.csv AND inactive_patients.csv files are required. Do not skip this step — inactive patients are the most valuable for reactivation campaigns.
Tip:
The column order in the inactive file will be the same as the active file — same header-free CSV format.
DESKTOP ONLY: Get Insurance Data (Separate Report)
Insurance/payer information is NOT included in the patient list report. You need to run a separate billing report. In ChiroTouch Desktop, go to Reports → "Insurance Reports" or "Billing Reports". Look for an "Insurance Summary by Patient" or "Patient Insurance List" report. Export this as a third CSV file. Send all three files (active, inactive, insurance) to MedMasters.
Note:
Payer/insurance data is in a completely separate billing report — it cannot be added to the patient list export.
Tip:
If you cannot find the insurance report, contact ChiroTouch support and ask: "How do I export a CSV of all patient insurance carriers and payer types?"
CLOUD ONLY: Open Reports in ChiroTouch Cloud
In ChiroTouch Cloud (web browser version), look for "Reports" in the top or left navigation. The Cloud interface is more modern — navigation is cleaner than the Desktop version. Click "Reports" to open the reports hub.
Tip:
Cloud users start here — ignore Steps 2–5 above.
CLOUD ONLY: Select "Patient List"
In the Patient Reports section, click "Patient List" — this is the report that includes all demographic, contact, and visit history data in one export. Do not use "Patient Summary" (it is a visual report, not an export).
CLOUD ONLY: Configure Filters and Export
Set Patient Status = "All" to capture both active and inactive patients in one file. Set Date Range = "All Time". Ensure all demographic and visit columns are selected. Click "Generate Report". Once the report loads, click "Export to CSV" in the report toolbar.
Tip:
Cloud exports include column headers automatically — you get a clean, properly labeled CSV unlike the Desktop version.

If you have access to both Desktop and Cloud, always use Cloud — exports are cleaner, include headers, and can be done in one file
For Desktop exports: document the column order in your message to MedMasters (Col 1=Last Name, Col 2=First Name, Col 3=Cell, Col 4=Home, Col 5=Email, Col 6=Last Visit, Col 7=Total Visits)
