Export Steps

Log in to ClinicMind

Navigate to your ClinicMind portal URL and sign in with admin credentials. ClinicMind is a cloud-based system — you access it entirely via web browser. After login, you will see the practice dashboard with schedule and billing overview.

Tip:

Admin or Office Manager role required for patient data export. If you do not see Reports in the navigation, contact ClinicMind support to verify your user permissions.

Click "Reports" or "Analytics"

In the ClinicMind navigation (left sidebar or top bar), click "Reports" or "Analytics". Some ClinicMind versions label this section differently — look for a chart icon or "Reports" text. The Reports hub shows all available report categories.

Open "Patient List" Report

In the Patient Reports section, select "Patient List" or "Patient Summary". This report shows all patient demographics and contact information in a filterable table.

CRITICAL: Understand ClinicMind's Three Patient Statuses

Before setting filters, you must understand that ClinicMind uses THREE patient statuses — not the typical two. Active: currently receiving care. Inactive: has not been seen recently but care relationship was not formally ended. Dismissed: patient was formally discharged (care relationship was explicitly ended by the provider). For MedMasters campaigns, select Active + Inactive only. Do NOT include Dismissed patients without consulting MedMasters first.

Note:

"Dismissed" in ClinicMind means the provider formally ended the care relationship. Reaching out to Dismissed patients may have legal or HIPAA compliance implications specific to your state. When in doubt, exclude Dismissed and contact MedMasters to discuss.

Configure Fields and Generate Report

Set Patient Status = "Active" + "Inactive" (select both — some versions have checkboxes, others have a multi-select dropdown). Set Date Range = "All Time". Make sure the following fields are included in the output: First Name, Last Name, Mobile Phone, Email, Last Visit Date, Patient Status, Insurance/Payment Type, Visit Count. Click "Generate Report".

  • Patient Status: Check "Active" and "Inactive" (leave "Dismissed" unchecked)
  • Date Range: All Time
  • Output fields: First Name, Last Name, Mobile Phone, Email, Last Visit Date, Patient Status, Insurance, Visit Count
  • Click "Generate Report"

Export to CSV

After the report generates, click "Export to CSV" or the download icon in the report toolbar. The file will download to your Downloads folder. Upload to MedMasters via the secure link provided.
