Sign in as Administrator
Open eClinicalWorks on a workstation. Administrator-level access is required to run patient demographic reports. Standard clinical roles cannot export patient lists.
Open Reports → Practice Management → Patient Reports
Click Reports → Practice Management → Patient Reports → "Demographic Report". Configure facility, status, and date filters.
Configure the Report
Set Status = All, Provider = All, Facility = All (if multi-facility), Date Range = All Time. Add columns: First Name, Last Name, Cell Phone, Email, Last Visit Date, Patient Status, Primary Insurance.
Note:
eCW reports run against the production database. Schedule large exports for off-hours to avoid impacting clinical staff.
Run and Export
Click "Run". The report builds in the background. When complete, click Export → CSV or Excel.
Tip:
Excel format preserves formatted dates better than CSV in eCW exports.
Send via Secure Upload Link
Upload the file using the secure link your MedMasters account manager provided. Do not email the CSV file directly — patient contact data must be transmitted securely.
Note:
Never send patient data as a plain email attachment. Patient data sent over unencrypted email violates HIPAA. Use only the secure upload link provided by MedMasters.

Cryptic column names (FName, LName, PrimIns) — rename in Excel for clarity.
Multi-facility setups: the report defaults to the user's home facility. Set Facility = All explicitly.
Report templates may need to be created by an eCW administrator the first time.
Have your eCW admin set up the report template once; staff can re-run with no setup.
Use the "Date of Service Range" filter to pre-segment dormant patients before export.
