Integrated EHR and practice management for multi-specialty clinics
Log In to HealthCore
Open your browser and navigate to your practice's HealthCore portal (typically youraccount.healthcoreehr.com or the custom domain your administrator configured). Enter your admin or provider username and password, then click "Sign In". HealthCore is fully cloud-based — no desktop application is needed.
Tip:
Only users with "Practice Administrator" or "Office Manager" roles can access the full patient export. If you are logged in as a provider only, you may not see the Reports menu — ask your admin to run the export.
Navigate to Reports
In the top navigation bar, click "Reports". The Reports hub will open with a categorized list of available report types on the left panel.
Select Patient Reports → Patient List
In the left panel of the Reports hub, click "Patient Reports". Then, from the sub-options that appear on the right, select "Patient List" (sometimes labeled "All Patients" or "Patient Demographics").
Set Filters and Date Range
On the Patient List report page, set the "Patient Status" filter to "All" to capture both active and inactive patients. Leave the date range as "All Time" for a full export. If your practice has multiple locations, set "Location" to "All Locations". Click "Generate Report" when ready.
Tip:
Setting Patient Status to "All" ensures that inactive and discharged patients are included — these are often the best candidates for reactivation campaigns.
Export the Report to CSV
Once the report results load, locate the "Export" button in the upper-right corner of the report table. Click it and select "Export as CSV" from the dropdown. The file will download automatically to your browser's default downloads folder.
Note:
Do not use "Export as PDF" — PDFs cannot be processed by MedMasters. Always choose CSV.
Send File to MedMasters
Upload the downloaded CSV file using the secure MedMasters upload link provided by your account manager. Do not rename the file before uploading.

Never email patient data. Always use the secure MedMasters upload portal to transmit files.

HealthCore may export both a "Phone" and "Cell Phone" column — always use the "Cell Phone" or "Mobile" column for SMS campaigns; the main "Phone" column is often a landline
Multi-location practices share a single patient database — if you want only patients from one location, apply the "Location" filter before generating the report
The Patient List report paginates at 500 rows in the browser view, but the CSV export always includes all records regardless of pagination
HealthCore labels inactive patients as "Inactive" or "Discharged" — both statuses should be included in the export for reactivation targeting
If the Export button is grayed out, your user role does not have export permissions — the Practice Administrator must grant "Report Export" access in Settings → User Roles
HealthCore's Patient List report is one of the more complete single-file exports — all 8 MedMasters fields are typically available without needing a secondary report
For practices using HealthCore's integrated billing module, the "Insurance" column is especially reliable and can be used directly to segment patients by payer type
If your practice has been using HealthCore for several years, consider filtering by "Last Visit Date" to the past 3 years to keep the list focused on reachable patients
