Check Your Version — Desktop App or Web Portal
Nextech comes in two versions: (1) Nextech EHR — a Windows desktop application installed on your office computers, and (2) Nextech Practice — a web-based portal accessed via browser. Check whether you launch it from a desktop icon or navigate to a URL. The navigation is similar in both but the Reports module location differs slightly.
Note:
Reporting access requires specific user role permissions in Nextech. If "Reports" does not appear in your navigation, ask your office manager to grant you "Reporting" access in Settings → User Roles.
Tip:
If you are unsure which version you have, look at your desktop — a "Nextech" shortcut icon means it is the installed desktop app.
Open the Reports Module
In the Nextech desktop app: click "Reports" in the top navigation bar, OR look for a "Reports" icon in the left module launcher panel. In the web portal: click "Reports" in the main horizontal navigation at the top of the screen. The Reports hub will open, showing a list of available report categories.
Navigate to Patient Reports
In the Reports hub, you will see report categories listed on the left or in a grid. Click "Patient Reports" or "Practice Management". If you see a search bar at the top of the Reports section, type "Patient List" to jump directly to the right report.
Select "Patient List" or "Patient Demographics"
Click "Patient List" — this is the primary report for extracting contact and visit data. If your Nextech version does not have "Patient List", use "Patient Demographics" — it contains the same fields. Do not use the "Inactive Patients" report separately; set the status filter in the next step instead.
Configure Report Filters and Output Fields
A report configuration screen will appear with two sections: Filters (left side) and Output Fields/Columns (right side). Configure both carefully.
Tip:
The "Cell Phone" field is more reliably populated than "Home Phone" in aesthetic practices — make sure it is included.
Run the Report
Click "Run Report" or "Generate". Nextech will process the report — depending on your patient volume this may take 30 seconds to 2 minutes. A preview of the data will appear in a grid below the filters. Scroll through to verify names, phones, and emails are populated.
Tip:
If the report returns 0 results, check that the "Patient Status" filter is not set to a specific status that excludes your patients. Reset to "All" and re-run.
Export to Excel or CSV
Once the report preview is visible, look for the export toolbar at the top of the results grid. Click the "Export" icon (looks like a page with an arrow) or "Export Data" button. Choose "Export to Excel (.xlsx)" for easiest review, or "Export to CSV (.csv)" — either format works for MedMasters.
Tip:
After exporting, click "Save Configuration" to save your filter settings — next month's export will take 1 click.
