READ FIRST: Noterro Has 3 Missing Required Fields

Before starting, understand that Noterro's standard patient export is missing three of the eight fields MedMasters needs: (1) Last Visit Date — not in the patient export, must come from appointment history. (2) Active/Inactive Status — Noterro has no patient status field at all. (3) Insurance/Payer Info — not in the standard export. You will need to run multiple reports and workarounds. This is the most complex export in this guide.

Note:

Noterro's standard patient export is missing Last Visit Date, Active/Inactive Status, and Insurance Info. These are critical campaign fields. Follow all steps below carefully.

Log in to Noterro

Navigate to app.noterro.com and sign in with your admin or clinic owner credentials. Noterro is fully cloud-based. After login you will see the schedule and patient overview.

Tip:

Admin or Clinic Owner role required for data exports. Practitioner accounts may not have access to all reports.

Export #1: Patient Demographics

Navigate to Reports → Client Reports or Patient Export. Look for a "Client List" or "Patient List" export option. Export all patients — Noterro does not have a status filter, so all patients will be included. This file gives you names, phone numbers, and email addresses.

  • Reports → Client Reports → Client List (or Patient Export)
  • Leave all filters at default (no status filter exists)
  • Make sure name, phone, and email columns are included
  • Export to CSV
  • Save as "noterro_clients.csv"

Export #2: Appointment History (for Last Visit Dates)

Navigate to Reports → Appointment Reports or "Appointment History". This report contains the appointment dates for each patient — MedMasters will use it to determine the last visit date for each patient. Export the full appointment history to CSV.

  • Reports → Appointment Reports → Appointment History
  • Date Range: All Time (captures complete history)
  • Include: Patient Name, Patient ID (if available), Appointment Date, Appointment Status (completed)
  • Export to CSV
  • Save as "noterro_appointments.csv"

Note:

This appointment file is the ONLY way to determine Last Visit Dates in Noterro. It is not optional.

Active vs. Inactive: Noterro Has No Status Field

Noterro does not have an Active/Inactive patient status field. There is no way to filter or export by patient activity status. MedMasters will use the appointment history file to determine which patients are active (seen within the last 90–180 days) vs. inactive (not seen recently). You do not need to do anything extra for this step — just make sure both files are sent.

Note:

There is no Active/Inactive status in Noterro — this is a known limitation. MedMasters will derive activity status from the most recent appointment date in the appointment history file.

Tip:

Send both files and let MedMasters handle the segmentation — this is a well-known Noterro limitation and MedMasters has a process for handling it.

Insurance/Payer Info: Contact Noterro Support

Insurance and payer type information is not available in Noterro's standard exports. If payer segmentation is important for your campaigns, contact Noterro support (support@noterro.com) and ask: "Can I export insurance/payer type by patient?" Some higher-tier plan configurations may have billing exports that include this data.

Tip:

Ask Noterro support specifically: "Do you have a billing or insurance export that shows each patient's primary payer/insurance carrier?" If they say yes, ask for instructions specific to your plan.

Send Both Files to MedMasters

Upload both CSV files (noterro_clients.csv and noterro_appointments.csv) using the MedMasters secure upload link. In your message, state: "This is a Noterro export. File 1 = patient list (demographics only — no status or last visit). File 2 = appointment history (all appointments). No insurance data available in standard export."

Note:

Both files are required. MedMasters cannot build campaign segments from the client list alone — the appointment history file is needed to determine last visit dates.

Google Calendar Integration

Sync type: two way

Open Calendar Settings

Log in to Noterro as a Practitioner. Click your Profile Picture or Initials in the top-right corner of the header. Select "Calendar" from the dropdown menu.

Connect to Google

Scroll down to the "Google Calendar" section and click "Connect to Google."

Authorize Access

Sign in to your Google Account in the pop-up and click "Allow" to grant Noterro permission to access your calendar.

Configure Sync Options (Optional)

After connecting, one optional setting appears: "Enable 2-Way Sync and Display Events" — when checked, this enables both directions: busy events from Google will block availability in Noterro, and your Google events will be visible inside your Noterro calendar view.

Save and Verify

Save your settings. Your Noterro appointments will now appear in Google Calendar within minutes, and any updates will sync in near real-time.

True two-way sync: Noterro appointments appear in Google Calendar in near real-time, and personal Google events marked as "busy" block your Noterro availability.

Two-way sync is optional — you can enable one-way (Noterro → Google only) if preferred.

Changes in Noterro reflect in Google Calendar almost instantly, eliminating the old 24-hour delay.

Each practitioner must individually connect their own Google account.
