Open OrthoTrac on Your Desktop
OrthoTrac is a Windows desktop application. Launch it from your Start Menu or desktop shortcut. Log in with your administrator username and password at the OrthoTrac login screen.
Tip:
You will need Administrator or Office Manager level access to run patient exports. Standard front-desk accounts may have limited report access.
Open the Reports Menu
In the OrthoTrac top menu bar, click "Reports". A dropdown menu will appear with multiple report categories.
Select Patient Reports
From the Reports menu, look for "Patient Reports" or "Patient Lists". Click on it to open the patient reporting sub-menu. Select "Patient List" or "Active Patient Report" from the options.
Set Report Parameters
In the report parameter dialog, set Status to "All" or "All Patients" to include both active and inactive patients. For orthodontic practices, active patients are those currently in treatment, while inactive includes completed or recalled patients. Set the date range to cover all records.
Tip:
In OrthoTrac, "Active" typically means currently in orthodontic treatment. Completed/recall patients are listed as "Inactive" — include both for MedMasters.
Preview and Export the Report
Click "Generate" or "Preview" to load the report. When the report displays, look for an export icon or go to File → Export in the report window. Select "CSV" or "Delimited Text" as the export format and save it to your desktop.
Note:
OrthoTrac may default to a proprietary format. Always select CSV or Delimited Text explicitly.
Send to MedMasters
Upload the exported file using the secure MedMasters upload link provided by your account manager.
Note:
Do not email patient data. Always use the secure MedMasters upload portal.

OrthoTrac is a desktop application — no browser export option exists
"Active" in OrthoTrac specifically means currently in active orthodontic treatment, not just an active patient file
Completed and recall patients are labeled differently — both should be exported for MedMasters reactivation
Export both "Active" and "Inactive/Completed" patients for the most complete dataset
OrthoTrac is being deprecated by Carestream — if migrating, export your full patient list before switching platforms
Phone numbers may be in separate "Home Phone" and "Cell Phone" columns — MedMasters will prioritize cell phone
