Export Steps
Sign in to Pabau Cloud
Open my.pabau.com in a desktop browser and sign in with your admin credentials. Patient list export requires admin or owner role; standard user accounts will not see the export option.
Open the Patient List
In the left sidebar, click "Clients" (older accounts may say "Patients"). The full patient list opens with a table view. Make sure no individual filter is active — you want the unfiltered view to ensure the full list exports.
Choose Export from the Actions Menu
Click the "Actions" or three-dot menu at the top-right of the patient list. Select "Export" → "Export to CSV" or "Export to Excel". Pabau will prepare the file in the background and email you a download link when it is ready (this can take a few minutes for large lists).
Tip:
For lists over 10,000 patients, the export is processed asynchronously. Check the email inbox of the user who triggered the export — the download link arrives there.
Open the Email Link and Download
Open the email from Pabau ("Your patient export is ready") and click the secure download link. The link expires after 24 hours — download promptly. Save the file to a HIPAA-compliant location.
Note:
The download link is single-use and time-limited. If it expires, repeat steps 2-3 to generate a fresh one.
Send via Secure Upload Link
Upload the file using the secure link your MedMasters account manager provided. Do not email the CSV file directly — patient contact data must be transmitted securely.
Note:
Never send patient data as a plain email attachment. Patient data sent over unencrypted email violates HIPAA. Use only the secure upload link provided by MedMasters.

Which MedMasters data fields are available in this EHR export.
Known Quirks
UK-based — date columns default to DD/MM/YYYY format. Convert to MM/DD/YYYY before sharing if needed.
Some legacy practices use "Pabau Classic" with a different export path under Reports → Patient Database.
Phone numbers may be stored in international format (+44...) — strip the country code for US clinics.
Pro Tips
Run the export at the end of the day — Pabau queues background jobs and same-day requests usually complete within minutes during off-peak.
If you have multiple locations, the export defaults to the location you are signed into. Switch locations and re-export to combine.
