Log In to Tebra
Open your browser and navigate to app.tebra.com (formerly app.kareo.com — both redirect to the same platform). Enter your administrator email and password and click "Log In". Tebra is fully cloud-based.
Tip:
Tebra was formerly known as Kareo. The platform was rebranded to Tebra in 2022 when Kareo merged with PatientPop. The interface may still show "Kareo" branding in some areas — the steps are the same regardless of which branding you see.
Navigate to Reports → Patients → Patient Demographic Export
In the top navigation or left sidebar, click "Reports". From the reports menu, navigate to "Patients" and then click "Patient Demographic Export". This is the dedicated patient list export feature in Tebra.
Click "Customize" to Set Export Options
On the Patient Demographic Export screen, click the "Customize" button to open the export configuration options. This allows you to choose which fields to include and set filters.
Configure Export Fields and Filters
In the customization panel, make sure the following fields are selected for export: First Name, Last Name, Phone Number (or Mobile Phone), Email Address, Last Visit Date, Patient Status. Set the format to "CSV" or "Excel" depending on your preference. Leave all patient status options selected (Active, Inactive) — do not filter by status to ensure you capture all patients.
Tip:
Tebra's Patient Demographic Export allows fine-grained control over which fields are included. Make sure "Last Visit Date" is selected — it may not be included by default.
Click Export and Download the File
After configuring the options, click "Export" or "Download". Tebra will generate the CSV file and either download it immediately or prompt you with a download dialog. Save the file to your computer.
Note:
Tebra's clinical data exports (SOAP notes, encounter records) are in XML format, not CSV. You do not need those — only the Patient Demographic Export (CSV) is needed for MedMasters.
Verify the File
Open the downloaded CSV in Excel and confirm the columns look correct. Check that first name, last name, phone, email, and last visit date are all present and populated.
Tip:
If you notice many patients are missing email addresses, it may be worth asking your staff to collect emails at future appointments before the next data pull.
Send to MedMasters
Upload the CSV file using the secure MedMasters upload link provided by your account manager.
Note:
Do not email patient data. Always use the secure MedMasters upload portal.

Last Visit Date is NOT included in the export by default — it must be manually enabled in the Customize options

The export is limited to 90 days of data when filtering by date range; use "All Time" or leave date fields blank
