Cloud-based EMR for physical therapy and chiropractic practices
Log In to WebPT
Open your browser and navigate to app.webpt.com. Enter your administrator email and password and click "Log In". WebPT is a cloud-based platform used by physical therapists and chiropractors.
Tip:
You need an Admin or Front Office Administrator account in WebPT to access the patient export feature. Standard therapist or clinician accounts may not see the patient list export option.
Navigate to Patient Manager → Display Patients
In the left navigation menu, click "Patient Manager", then click "Display Patients". This opens the patient search screen with all filtering options. Alternatively, you can click "Patients" in the top navigation and then use the "Advanced Search" link in the top-right corner above the search bar.
Set Search Filters to Include All Patients
On the Display Patients screen, configure the following filters to pull all patients. For a comprehensive export set Patient Status to "All" and Case Status to "All". For the Scope, select "All Clinic Patients" (single location) or "All Company Patients" (multi-location). Leave the date fields blank to include all time periods.
Click "Search" to Load Results
After setting all filters, click "Search" to run the query. WebPT will load a list of all matching patients in the results table below.
Note:
Do NOT attempt to search for and export all patients at once if your practice has a very large patient database (thousands of records). WebPT recommends filtering by date range or patient status for large datasets to avoid browser timeouts. Export in segments if needed.
Tip:
WebPT uses "Discharged" for patients who have completed their episode of care — similar to "Inactive" in other systems. Include Discharged patients — they are prime reactivation candidates.
Click "Export to Excel"
Once the search results load, look for the "Export to Excel" link or button near the top or bottom of the results table. Click it. WebPT will generate an Excel file containing all the patients that matched your search criteria.
Tip:
The Excel file can be re-saved as a CSV in Excel (File → Save As → CSV) if needed. Both Excel and CSV formats are accepted by MedMasters.
Send to MedMasters
Upload the exported file (Excel or CSV) using the secure MedMasters upload link provided by your account manager.
Note:
Do not email patient data. Always use the secure MedMasters upload portal.

Visit count is not available in the Advanced Client Search export — a separate appointments report is needed
WebPT is used by both physical therapists and chiropractors — the export process is identical for both
Use "All Clinic Patients" for single-clinic practices; use "All Company Patients" if you have multiple locations in the same WebPT account
The Excel export can be converted to CSV in Excel (File → Save As → CSV) if needed for your upload workflow
